The Arrangement
All travels are organized by Explore Greenland ApS in close co-operation with the airline companies, accommodations and local subcontractors. If another organizer than Explore Greenland ApS it appears on that particular travel.

Airline tickets only
If the travel consist of an airline ticket only Explore Greenland ApS is solely the mediator to the airline company in question, meaning it is the airline company only which is responsible for the completion of the travel. Eventual cost for lost earnings etc is no concern of Explore Greenland ApS. Explore Greenland ApS is instructed by law to offer the customers, buying only flight tickets, a special insurance against an eventual liquidation, if the airline company files for a petition in bankruptcy. This insurance cost DKK20.

Reservation and payment
A travel reservation can be made on the phone, by letter or by e-mail to Explore Greenland ApS, and a confirmation of the reservation will be sent soonest possible. We ask you kindly to read the confirmation carefully to make sure that the confirmation correspond with your reservation. The confirmation is binding for both parties when the deposit is received. The remaining amount of the total price should be paid not less than three months before departure, but at the purchase of special quotations, there might be other payment conditions. This can be the case of individual travels, where the issue of the tickets are made within 24-72 hours after the reservation. After full payment all necessary travel documents will be sent not less than a fortnight before departure.

Deposit
The deposit varies from one travel to another depending on the fair and what type of journey. For travels made by Explore Greenland ApS the deposit is as follows:
For travels with a fair up to DKK 12.500,- deposit is DKK 2.500,-.
For travels with a fair between DKK 12.501,- and DKK 20.000,- the deposit is DKK 5.000,-.
For travels with a fair over DKK 20.000,- the deposit is 25% of the total fair.
However for individual travels the deposit will be min. 50% of the total fair payable at the confirmation due to our subcontractors terms of payment.
For package tours, where Explore Greenland ApS is an agent, and using other companies as organizer, there can be other rules for deposit. This will for instance has its effect for travels with Hurtigruten. Get further information when ordering. The deposit amount will be noted on the invoice.

Credit cards
If you wish to pay your travel with credit card, this can be done on our homepage. We are instructed by the financial institutions to add bank charges at certain credit cards. Explore Greenland ApS has chosen to charge this fee to the customer in question, as we do not wish to let it be a general increase of our prices, which are the absolute lowest to our destinations. Most of our customers are paying directly through bank transfers, which of course is free for extra fees.
The fee charged for paying with a creditcard is a percentage of the actual purchase and are calculated as such:
Dankort, Visa/Dankort og eDankort:      DKK 1,45 + 0,10% of the total purchase.
Other cards, issued in Denmark:          1,25% of the total purchase.
Other cards, issued outside Denmark:  3,75% of the total purchase.

Taxes and charges
When going to Greenland, The Faroe Islands and Iceland all taxes and charges in connection with the reservation are included in the fare.

Timetable etc on the itinerary and on tickets
All mentioned times are local times. After the issue of the flight tickets and the itinerary there might be time changes. Kindly check the departure time in the itinerary and contact us soonest if there should be differences from the original reservation and confirmation, so an eventual error can be corrected before departure.

Check-in times
When arriving at the airport, you are recommended to check the actual check-in times. The information from Explore Greenland ApS or the airline companies regarding gates and terminals is only intended as a guide not binding. There can be conditions making it necessary to change departure from one gate and terminal to another. Always check gate and terminal, especially at transits with short deadlines.

Discount tickets
If you wish to take advantage of the many cheap discount tickets on the market and combine these tickets on different destinations, these tickets should be issued on separate documents. Normally these tickets can not be cancelled, changed or be refunded, meaning you yourselves are responsible for an eventual delay and not beeing able to catch the next connection. Neither Explore Greenland ApS nor the airline companies can be responsible for the eventual costs to new tickets, accommodation etc due to this situation. You can buy a policy, so called "delayed appearance policy" covering such costs.

Ticket transfer
Due to the rules between the subcontractors, the travel cannot be transferred to other persons.

Changes made by the costumer
If a customer wants to make changes in a confirmed arrangement, Explore Greenland ApS charges a fee of DKK500. There can be charged further fees from our subcontractors, if required to make such a change. The customer will always be informed of these fees before the change is made. Changes not less than three months before departure are looked at as a cancellation. If it's only flight tickets – or an arrangement on land – other rules are valid, please contact us for further information.

Changes made by others than the costumers
Be aware that travels, especially in the whole Northatlantic (here included Greenland, Iceland and the Faroe Islands), are under conditions which can cause delays and route changes. In most cases the airline company will arrange food and accommodation if necessary. Besides this the excursions and other booked and payed arrangements are much depended on the weather, which can cause changes or even to cancel part of a travel programme.

Explore Greenland ApS makes reservation for necessary changes in our travel programme in case of too few participants. In that case, if the customer do not wish to participate in the travel, the amount payed will be refunded, while further demands cannot be made. In such a case, among others, Explore Greenland ApS can cancel the reservation with 20 days notice. If it's not possible to find another satisfying tour, the paid amount will be refunded and further claims cannot be made by the customer.

Delays and irregularities at Air Greenland
There are several things which can influence the air traffic in Greenland, especially the extreme arctic weather conditions, which can give delays and irregularities when traveling to and in Greenland. In that case some of the expenses due to a cancellation or delay are covered by Air Greenland. See the following rules:

Natural catastrophes (as for instance the Icelandic ash cloud)
Air Greenland covers only the extra expenses for passengers on their way from Denmark or Iceland to Greenland. Passengers traveling domestic in Greenland as well as passengers on their way to Denmark or Iceland are not covered.

Bad weather
Air Greenland covers overnight stay and breakfast and rebooks the ticket to first available departure until reaching the final destination. This applies for all Air Greenland departures. (At departures FROM Kastrup to Keflavik lunch and dinner are covered as well).

Changes in the price after confirmation
Explore Greenland ApS makes reservation for price changes after the confirmation. Price increases may happen due to changes in currency, transport costs for instance: the price for fuel, taxes and fees for certain services such as airport, landing and start fees. An increase should be announced soonest possible and not later than 20 days before departure and may not be higher than 10% of the original price for the travel. If these conditions are not kept, the customers can cancel the reservation without cost.
There is however one condition, that the cancellation is made to Explore Greenland ApS immediately after the customer has been informed of the increase. In case of price decreases due to above mentioned conditions the customers will be informed soonest possible as well. Any decrease changes within 20 days before departure, the customer cannot be refunded the difference. In case of domestic taxes or fees to the authorities are decreased or annulled before departure, Explore Grenland ApS is issued to refund the amount, if exceeding DKK100.

Cancellation of travels
Cancellation of a standard travel, where the programme is made by Explore Greenland ApS in advance, the following rules are valid:
When cancellation is made more than three months before departure, the deposit is refunded
When cancellation is made between three months and 20 days before departure, 55% of the full price is refunded.
When cancellation is made less than 20 days before the departure, there is no refund.
For individual arrangements other rules are valid, as in most of these cases, the flight tickets will be of such a type that it cannot be refunded. The same goes for certain excursions. Ask for further information upon reservation.

Change of name
Change of name will be looked at as a cancellation of the travel and will be handled as such – see Cancellation of travels.

Travel Insurance
Danish citizens travelling to Greenland, the Faroe Islands and Iceland are covered by the Danish "Yellow health care card" when the journey is less than a month and it is pure vacation or study visits. It covers treatment and necessary home transport of the traveller when acute illness or causilties occur. Wishes an insurance beyond this, a private insurance should be issued. For citizens outside Denmark you have to check the rules in your country.

The customers obligations
All customer is obliged, before departure, to check that surname in the passport, on the tickets and other documents are correct. If they are not identical it can leed to dismissal at the check-in at the airport. As a Danish citizen it's not required a visa to enter Greenland, the Faroe Islands nor Iceland. But it is still necessary to be able to show a valid legitimation with picture, why we clearly recommend bringing a valid passport (eventually a driving licence). Explore Greenland ApS is not responsible for consequences of uncorrect information the office has been unable to make allowance for in advance. If you are not a Schengen citizen you have to check with your Danish Embassy if a visa is required from your country.

The airline companies responsibility
The airline company used do not take responsibility for occasions happening on times where the passengers are not on board the aeroplane, on which they are booked. The responsibility for checked in luggage we refer to the airline companies own regulations.

The responsibility of Explore Greenland ApS
Explore Greenland ApS is according to the "law for package tours" responsible to carry out the travel accordingly to the programme and the pricelist. Arrangements made by the traveller without the office knowledge is not one of Explore Greenland ApS' responsibilities, as well as changes, delays etc due to ruptures of the agreement, unofficial strikes, weather and conditions, Explore Greenland ApS has no influence on. We make reservation for printing errors and changes in the prices due to altered conditions from our suppliers.
Package tours are runned according to conditions issued by "Danmarks Rejsebureau Forening" (the Danish Travel Agency Association) and "Forbrugerrådet" (the Danish Consumers' advisory council). Explore Greenland ApS is a member of "Rejsegarantifonden" (the Danish Travel Guarantee Fund) with registration number 2247

Complaints
Eventual complaints under the travel should be made to the airline company or to Explore Greenland ApS within a reasonable time after the customer has discovered the fault, such as the fault can be helped at once and with as little inconvenience as possible for the traveller. If the complaint is given directly to the airline cpmpany in question or to another company, you ought to make sure to get a receipt, if the fault cannot be helped at the spot, and you later want to bring an action for damages against the company. Missing complaint will normally lead to loss of a later claim.

Legal claim
Any legal claim aganist Explore Greenland ApS is settled after Danish law. Complaints or suits, which cannot be settled by "Rejseankenævnet" (the Danish Travellers Board of Appeal), will be settled by "Sø- og Handelsretten" (the Danish Commercial Law) in Denmark.
